ACM's Responsibilities | Conference Committee's Responsibilites

ACM will take care of the following:
  1. MEETINGS: with your chairperson: We meet with the conference chairperson on a regular basis.
  2. LOCATION: We assist the committee and/or chairperson with site selection and secure the best contract rates for the conference.
  3. PROGRESS REPORTS: We provide written and oral reports on a regular basis.
  4. ACCOUNTING: We develop a working relationship with the conference accountant, who will sign checks and provide financial reporting.
  5. BOOKKEEPING: We open a checking account for the conference and deposit registration funds and other payments.
  6. BIDS: We request and arrange for all bids and contracts needed for the successful completion of the conference.
  7. BUDGET: We assist with budget preparation.
  8. MAILINGS: We complete conference mailings.
  9. SPECIAL NEEDS: We arrange for and manage the special needs of all handicapped participants who request special assistance.
  10. MONTANA ADVENTURE ACTIVITIES: We arrange for pre- and post-conference fun.
  11. TELEPHONE: We provide central telephone service by having a new 800 number installed for the exclusive use of your conference callers.
  12. MATERIALS: We supervise the graphic artist for the typing and completion of conference registration forms and agenda.
  13. MAILINGS: We complete or arrange for pre-conference registration mailings and letters of invitation from the Governor’s Office.
  14. BOOKSTORE: We contact and secure a local bookstore for its participation as an exhibitor.
  15. SPEAKERS: We coordinate travel and lodging arrangements for speakers. We prepare and send speaker confirmation letters with time, date, location, and other information regarding their presentation.
  16. EXHIBITORS: We coordinate and manage conference exhibitors.
  17. REGISTRATION DESK: We staff the registration desk for the duration of the meeting.
  18. MEALS & MEETING ROOMS: We coordinate meal functions, meeting room, and AV equipment assignments.
  19. PACKETS: We collect and assemble registration packet information.
  20. SPEAKER PAYMENT & THANK YOU: We prepare “thank you” letters and envelopes for all speakers together with authorized payment checks.
  21. PAPER & PENS: We provide note pads and pens for participants.
  22. ACCOMMODATIONS: We coordinate all housing arrangements for conference attendees and send confirmation letters.
  23. REGISTRATION: We serve as contact for registration process by receiving and processing registration forms and completing the registration process, sending confirmation letters and invoices to all registered attendees.
  24. NAME TAGS: We provide typed name tags for all participants.
  25. OTHER ITEMS: We complete other necessary activities as requested and agreed upon with the planning committee.
  26. EXIT REPORT: We develop a final post-event report.
